Over the next few months, you'll receive a series of messages about the transition and integration between the technology services at EVMS and the services provided at Ïã¸ÛÁùºÏ²Ê×ÊÁÏ. Taking one step at a time, we will establish your new Ïã¸ÛÁùºÏ²Ê×ÊÁÏ identity and email address, then connect your computer to Ïã¸ÛÁùºÏ²Ê×ÊÁÏ systems using these new logins. This page outlines each step in this transition, and will be updated as we go along.

Your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ Identity

By now, you should have set up your new Ïã¸ÛÁùºÏ²Ê×ÊÁÏ digital identity (your "MIDAS ID") which is synchronized with your EVMS identity. Your user name and password are the same on both sides (with very rare exceptions); this ID unlocks Ïã¸ÛÁùºÏ²Ê×ÊÁÏ and EVMS technology services. (If you still need a MIDAS ID, see this guide.)

MIDAS

The Monarch IDentity & Authorization System – Ïã¸ÛÁùºÏ²Ê×ÊÁÏ's ID, password and online account management system (similar to ReACT)

MONARCH-KEY

Single sign-on for access to most University IT resources using your MIDAS ID and password

LEO ONLINE

Access timesheets, paystubs, leave balances, and other administrative employee services


Workstation & Email Migration

One of our largest integration tasks is the migration of individual workstations and email accounts to Ïã¸ÛÁùºÏ²Ê×ÊÁÏ servers. This is happening a little at a time over the next several months, and we are working closely with each department to ensure that all needs are met and concerns are addressed. We will let you know exactly what date your workstation and mailbox will be migrated and what you can expect, and we will work closely with you to make sure your files are safe.

Email & Messaging

Use Outlook to check and manage email or access your email online at . Log in with your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ email address (xxx@odu.edu) and MIDAS password.

Office 365

Your new version of Office will have a few new features and stronger cross-device support. You’ll also be licensed to download Office products on personal devices.

OneDrive

Store your files in OneDrive to access them from anywhere and free up space on your computer's hard drive, allowing your device to perform better.Ìý

Teams

Microsoft Teams combines persistent chat, file collaboration, instant messaging, and meetings in a single platform.

VPN

If you currently have access to the EVMS VPN, you will have access to Ïã¸ÛÁùºÏ²Ê×ÊÁÏ's VPN after the transition. If you need access, learn more about Ïã¸ÛÁùºÏ²Ê×ÊÁÏ's VPN here.

Printing on Campus

Print to any printer from your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ-managed workstation or from a personal computer connected to Ïã¸ÛÁùºÏ²Ê×ÊÁÏ's VPN.

Software

Before a new piece of software is introduced at Ïã¸ÛÁùºÏ²Ê×ÊÁÏ, we need to review it for compatibility and security, especially if it will require the collection of personal data.

EVMS WiFi networks will continue to work, but you might consider using the eduroam network, which is available across all campuses (and at institutions across the world).

FAQs

Accounts & Access

Following current industry standards, Ïã¸ÛÁùºÏ²Ê×ÊÁÏ does not offer the option to use phone call for two-factor authentication with Duo. Phone call authentication is subject to abuse like SIM hijacking and auto-accept mechanisms, and there are significant costs. Other authentication options are more secure and ensure the validity of login activity. Learn more about options at odu.edu/two-factor.

Yes. While we encourage folks to transition systems to their Ïã¸ÛÁùºÏ²Ê×ÊÁÏ email addresses as their mailboxes are migrated, EVMS email addresses will continue to work.

Your Workstation

We will work with departmental leadership to confirm scheduling before migrating any workstations. The aim is to disrupt as little as we can and operations are not adversely impacted.

The current schedule can be found here. That table is continually updated as more departments are finalized, and you will receive an email at least two weeks out from your migration date.

  • Your device will have a new name.
  • You will use your @odu.edu email address to log into your computer.
  • Other websites and services may require your @odu.edu email address to log in OR your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ/EVMS username.
  • Some logins will require two-factor authentication with Duo Mobile.
  • Your computer will go into sleep mode after 45 minutes of inactivity.
  • Upon hitting CTRL+ALT+DEL you will see a Legal Notice informing you that the device is for authorized purposes only.

We recommend storing business files in OneDrive instead of your local hard drive, for several reasons:

  • OneDrive files are accessible from any device with an internet connection and can be shared easily with colleagues. Additionally, when your computer is re-imaged as part of the tech integration, your files live safely in the cloud and are in no danger of being deleted.
  • When your files are stored in OneDrive, you free up space on your computer's hard drive, allowing your device to perform better.
  • Files are backed up and auto-saved. The latest version is always available, even if your computer crashes or the power goes out.

These standard applications will be installed on all devices:

  • Office 365 Suite (Word, Excel, PowerPoint, Outlook, and Teams)

Not necessarily. Here are some things you can try:

  • Give it some time; the application may still be in the process of installing.
  • Check the Company Portal; the application may be available for installation.
  • Reach out to the ITS Help Desk; a technician can help install the application if it is not available in the Company Portal.

No. During the migration process, your technical support person will help you back up your data, and they will make sure you can access that data afterward.

  • Check all local folders and the locations where you backed up your data in case anything was moved.
  • Keep checking your OneDrive cloud folder; your files may still be syncing.
  • If you still can't find your files, contact the ITS Help Desk to see if recovery is possible.

  • Make sure you are connected to the internet.
  • Make sure you are connected to the VPN.
  • Make sure you are using your new computer name.
  • Restart your computer.
  • Contact the ITS Help Desk for further assistance.

IP addresses and other network-based changes are not being done alongside the desktop migration.

Software installation can be done from the self-service portal or via a request to our technical support team.

Email

The current schedule can be found here. That table is continually updated as more departments are finalized, and you will receive an email at least two weeks out from your migration date.

Personal folders in Outlook (or PST files stored on your computer) will be automatically imported into your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ mailbox for you. The process may take up to a week once your staff mailbox and workstation are migrated, but they will eventually show up in a newly created folder within your new mailbox.

Yes, messages that are addressed to you @evms.edu will be forwarded to your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ inbox indefinitely.

No, all of the emails in your EVMS mailbox will be migrated to your new Ïã¸ÛÁùºÏ²Ê×ÊÁÏ mailbox.

All of your saved emails will be transferred to your new Ïã¸ÛÁùºÏ²Ê×ÊÁÏ mailbox. However, Ïã¸ÛÁùºÏ²Ê×ÊÁÏ uses retention tags to ensure that messages are kept only as long as necessary for business purposes. By default, messages in your inbox are automatically deleted after one year.

You can set retention tags on individual messages or folders if you need to keep messages longer than the default time period.

There are planned improvements to the Ïã¸ÛÁùºÏ²Ê×ÊÁÏ Address Book that will include department information.

When your time to migrate comes, please ensure you list any shared mailboxes you use in the survey that is done. We will try to schedule shared mailbox as close to the owners/users as possible.

Yes, all personal folders will be migrated into your new Ïã¸ÛÁùºÏ²Ê×ÊÁÏ mailbox.

Some shared mailboxes will remain the same with @odu.edu instead, and some may need to be renamed if there is already an existing mailbox at Ïã¸ÛÁùºÏ²Ê×ÊÁÏ or if there is a need to better align with the Ïã¸ÛÁùºÏ²Ê×ÊÁÏ identity.

All EVMS addresses will be forwarded to the respective Ïã¸ÛÁùºÏ²Ê×ÊÁÏ account when your mailbox is migrated.

Ïã¸ÛÁùºÏ²Ê×ÊÁÏ Outlook mailboxes are limited to 100 GB of storage. Additional email may be stored in the Outlook Archive.Ìý

Mobile Device Management (MDM)

Your organization can't see your personal information when you enroll a device in Microsoft Intune. Enrolling your device makes certain information, such as device model and serial number, visible to IT administrators and support people with administrator access.

    Zoom

    Ïã¸ÛÁùºÏ²Ê×ÊÁÏ allows this on a limited basis. Please send in a request to itshelp@odu.edu.Ìý

    EVMS Zoom accounts need to be transitioned to Ïã¸ÛÁùºÏ²Ê×ÊÁÏ Zoom by August 22. Any scheduled meetings should be rescheduled using your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ Zoom account as soon as possible. More information.

    The EVMS Zoom migration deadline is August 22. If you need assistance migrating recordings, please send a request to itshelp@odu.edu.Ìý

    Security

    Your current EVMS VPN access will remain the same after migration. We will ultimately transition to the Ïã¸ÛÁùºÏ²Ê×ÊÁÏ VPN and will communicate and work with customers at that time.

    You will need to be enrolled in MDM to access your Ïã¸ÛÁùºÏ²Ê×ÊÁÏ email, SharePoint and OneDrive (and other Office 365 apps including Word, Excel and PowerPoint) from a personal phone or tablet. More information.

    VPN access is separate from Remote Desktop Access at Ïã¸ÛÁùºÏ²Ê×ÊÁÏ. You can access most services directly. Other services might require a VPN, but you likely will not need to remote into a desktop on campus.

    Yes. We ask that you bring in all your devices so we can assist with any migration tasks when your endpoint and mailbox are being migrated.

    Badging

    Digital access remains separate for different badges and ID cards. More information.

    e-Learning

    Ïã¸ÛÁùºÏ²Ê×ÊÁÏ transitioned from Blackboard to Canvas a couple of years ago. We will pilot Canvas with a handful of courses at EVMS in the fall, with a plan to introduce Canvas campus-wide in the near future. More information.

    Office 365

    Yes. More information about migrating EVMS OneDrive to Ïã¸ÛÁùºÏ²Ê×ÊÁÏ OneDrive will be coming soon.Ìý

    Teams conversations on EVMS Teams will not be moved over. If the Team is hosted on Ïã¸ÛÁùºÏ²Ê×ÊÁÏ Teams, the conversations will remain in the team.

    Ïã¸ÛÁùºÏ²Ê×ÊÁÏ Teams is capable of making direct Teams calls (Audio and Video) to any other Teams account as long as the outside organization permits it.Ìý

    Complex SharePoint migrations will be scheduled later in 2024. We will work with the departments directly to migrate the SharePoint site to Ïã¸ÛÁùºÏ²Ê×ÊÁÏ SharePoint.Ìý

    Software & Servers

    Network storage is not being migrated at this time. We will assist in re-connecting to network drives when your devices are migrated.

    Adobe Acrobat Pro is available without additional cost to all faculty and staff.
